Estimate

Estimates are used to provide potential costs to clients for products or services before finalizing the sale. Sky Books lets you easily create, manage, and send estimates to your clients, with a detailed breakdown of items, tax calculations, and terms.

How to Add an Estimate

  1. Navigate to the Estimates Section

    • Go to the Transactions section from the sidebar.
    • Click on Estimate to access the list of all existing estimates and the option to create a new one.
  2. Add New Estimate

    • Click on Add Estimate to create a new estimate.
  3. Fill in Estimate Details

    • Estimate No: Sky Books automatically generates an estimate number (e.g., EST0010) based on the numbering system.
    • Customer Name: Choose the customer from the contact list or add a new one.
    • Estimate Date: The date when the estimate is created (e.g., 28/02/2025).
    • Expiry Date: The date when the estimate expires (e.g., 28/02/2025).
    • Place of Supply: Specify the location where the goods or services will be supplied.
    • Tax Type: Select the tax type applicable (e.g., GST, VAT).
  4. Tax Calculation & Items List Below the estimate details, you can add items and their respective details:

    • Item: Choose the item being quoted (from your inventory or list).
    • Description: Provide a brief description of the product or service.
    • Quantity: Enter the quantity of the item.
    • Rate (Exclusive of Tax): Enter the price per unit of the item (before tax).
    • Tax: Choose the applicable tax rate for the item (e.g., 10%, 18%, etc.).
    • Amount: Sky Books automatically calculates the amount for each item (Quantity x Rate + Tax).
  5. Terms & Conditions

    • In the Terms & Conditions section, you can enter any specific terms related to the estimate, such as payment terms, delivery timelines, and warranties.
  6. Our Notes

    • In the Our Notes section, you can provide additional information for the customer, such as custom messages, special offers, or any relevant details about the estimate.
  7. Subtotal and Other Costs

    • Sub Total: Sky Books will automatically calculate the subtotal of the items.
    • Others: If there are additional charges, such as delivery fees or handling charges, you can enter the name and amount of the extra cost.
      • Example: Others Name: Delivery Fee, Others Amount: $50.
  8. Round Off

    • Sky Books automatically rounds the total amount based on the rounding rules you set in your account settings.
  9. Total

    • The Total field shows the final estimate amount, including the subtotal, additional charges, taxes, and rounding adjustments.
  10. Save and Send Estimate

  • Once all fields are filled in, click Save to save the estimate.
  • You can Email the estimate directly to your client or Download it as a PDF to share manually.
